Help for the RecordsKeeper Move/Copy General Record Screen
This screen permits you to:
- move a record from one tab to another
- copy a record from one tab to the same or another, or
- duplicate a record within the same or another tab
Move:
When you move a record, the record is moved in its entirety. After it is moved, it is no longer available under the tab it was moved from and is only available under the tab it was moved to.
Copy:
When you copy a record, all data fields with the exception of the attachment fields are copied. After it is copied, the originating record is still available under the tab it was copied from and the copy is also available under the tab it was copied to.
You can copy a record to the same tab if you wish. This is helpful when adding a new record that has much the same data as the original as it can be copied and then modified to make it a unique new record.
Duplicate:
When you duplicate a record, all data fields with the exception of the attachment fields are duplicated. After it is duplicated, it is still available under the tab it was duplicated from and is also available under the tab it was duplicated to.
You can duplicate a record to the same tab if you wish.
After a record has been duplicated, the duplicate record cannot be changed except for the sequence and the location fields. All other data fields can only be changed within the originating record.
This feature is useful should you wish to assign an item to more than one location for some reason (a physical location and also a pseudo location). Messages help you determine where to locate the original record.
General Notes:
The record that is moved, copied or duplicated is the record that was selected when you clicked the ‘Move/Copy’ button.
You can only move, copy or duplicate one record at a time.
It is possible to move, duplicate or copy a record to another tabset and to another user.
For security and privacy reasons, you can only move or copy your own data to other users; you cannot import data from another user.
Caution:
When copying or duplicating records, any files in the attachment fields are not copied to the new record - they are only available through the original record. Should you require the same attachments in the new record, they must be entered again.
Tips and Techniques:
If you are entering data for several items that are similar, you may find it easier to copy an existing record and then edit it to make any changes required to make it a unique record.
If you find that some records under the ‘Sample’ user are similar to what you require, you can change user and sign in as the ‘Sample’ user, then copy the records you need from there to your own tabsets for modification. Note that you cannot move a ‘Sample’ user’s record, you can only copy it.
